The problem with most automation

It fails quietly, and you find out when the month is slow

We learned this the hard way in our own businesses. A lead workflow ran "successfully" for five weeks while delivering nothing, because a credential had expired and the tool marked every run green. Since then every chain we build has a watchdog that checks not just whether it ran but whether it did anything, and alerts us when a pipe that usually carries leads goes silent.

One intake for every source

Web forms from your site, missed-call records and voicemails from Alex, marketplace messages where the platform allows it. Each source identifies itself in the payload, so you always know where a lead came from, and every lead is stored even when a field is missing or malformed. Nothing is dropped for being messy.

Alerts you will actually see

A text and an email within seconds of the lead, with name, number, what they need and the page they came from. If you want, Alex calls you and reads the lead aloud so you can decide whether to call back now. You choose the hours for each channel.

Spam handling without CAPTCHAs

Every form carries an invisible honeypot field and a timing check, so bots that fill forms in under two seconds are flagged before they cost you a callback. Flagged submissions are still delivered, labeled, because a real customer occasionally trips a filter and we would rather you see it than lose it. Known repeat spammers can be blocked by name or number in one line.

Follow-up that respects consent

Text follow-up goes only to people who checked the consent box on the form or asked for it on the call. Sequences are short: one message, then wait for a reply. Nobody gets drip-marketed by a business they called once. This keeps you on the right side of telephone consumer protection rules and, more practically, keeps customers from resenting you.

Built on tools you could take with you

The workflows run on n8n, an open-source automation platform, with Claude handling the language tasks (summarizing a call, drafting a reply for your approval). If we ever part ways, the workflows export as files and can run anywhere n8n runs.

Common chains

Five automations we install most often

Form to phone

Website form posts to the intake; you get a text and email in seconds; the lead is filed in the dashboard with the source page. The baseline on every site we build.

Missed call to callback

Alex could not reach you; caller details arrive by text; one tap schedules Alex to call the customer back at a time you pick and warm-transfer when they answer.

Lead alert call

For high-value leads, Alex phones you and reads the details aloud. Useful when you are driving and cannot read a text, common for real estate and commercial work.

Marketplace inbox

Thumbtack, Yelp and similar inboxes polled and answered in your voice within minutes, with a summary to you and a hard stop the moment you reply yourself.

Document signature alert

Agreement signed electronically; you get a call and a text; the signed copy is filed. Removes the "did they sign yet" refresh loop.

Content syndication

Publish a post once; it goes to your social channels and feeds automatically. Keeps a site looking alive for search without a social media hire.

Setup and care

Two weeks to install, then monitored for as long as it runs

  1. Map the sources. Every place a lead can enter your business today, including the ones that go to an inbox nobody checks.
  2. Build the intake and alerts. One workflow, every source identified, tested with real submissions from each one.
  3. Add the watchdog. Daily check for workflows that errored, never ran, or ran and did nothing. Alerts come to us and to you.
  4. Choose follow-up rules. Which leads get a callback, at what hours, with what consent. Written down and approved before it goes live.
  5. Review at thirty days. What arrived, what converted, what was spam. Rules adjusted from real data, not guesses.

Businesses across Las Vegas and North Las Vegas run this same intake today. Ask us on the discovery call to show you a live one.

Questions we hear on the first call

Do I need a CRM for this?

Not to start. The dashboard stores every lead with its source and status. If you already use a CRM, we push leads into it; if you outgrow the dashboard, we help you pick one.

Can it text customers automatically?

Only customers who consented, and only one message before waiting for a reply. Carrier registration for business texting is a real process with real rejections; we handle it and tell you honestly where it stands.

What happens if the automation breaks?

The watchdog catches workflows that error, never run, or run without output, and alerts us the same day. Leads are also emailed independently, so a broken step does not mean a lost lead.

Is my customer data safe?

Leads are stored on servers we control, not resold, and never used to train anything. The privacy policy describes exactly what is kept and for how long.

Can you connect it to my existing tools?

Usually. n8n speaks to most business software through its API. Tell us what you use and we will confirm on the discovery call.

Find the silent failure

Tell us how leads reach you today and we will show you where they fall through

Most businesses have at least one form, inbox or voicemail that quietly stopped delivering. We will trace each path end to end and report what we find, in writing.
